Job Description

Role Purpose:

To manage the Office of the CEO efficiently, to implement, sustain and review the standards for administration and secretarial support throughout the Company 

Role Details – Key Responsibilities and Accountabilities:

1-    Coordinates and keeps the CEO agenda, meetings, appointments, travel arrangements; meets with him daily to ensure proper two way communication and understanding
2-    Types correspondence; takes and transcribes dictation; processes and distributes mail
3-    Greets and screens telephone calls; coordinates third party visits including visas, travel, hotel accommodation if required
4-    Maintains a database of the CEO contacts (by category) 
5-    Receives and logs invoices relating to the CEO/ Department- assists with annual budget compilation
6-    Acts like an office manager for Communities  Business Unites i.e. orders supplies, keeps vacation and travel records, performance evaluation records; observes and implements established company policies and procedures
7-    Files and retrieves records, correspondence; keeps confidential files locked
8-    Handles other ad-hoc assignments Display a high level of personal and professional integrity at all times

Personal Qualities:


•    University degree
•    Excellent secretarial skills- able to be a demonstrable standard setter
•    A pleasant, presentable personality with an honest, open, warm character and manners
•    A minimum of 5 years executive secretary experience with an excellent past record 
•    Smart appearance and demeanor
•    Self-confident, self-reliant and a self-starter
•    Excellent communication and presentation skills both written and oral in English
•    Energetic / high work ethic
•    Resourceful
