The role

To provide an efficient and professional reception service. Priority is to answer calls in a polite and efficient manner and direct calls to the right location; and greet visitors, requesting their name on all occasions before informing the person they are visiting.

Main Duties

  • Operate the switchboard for the Agency, answering calls in a polite and efficient manner ensuring calls are directed to correct locations.
  • Always ask name of caller and inform the person they are call before transferring the call.
  • Deal efficiently with internal and external enquiries, providing directions when requested.
  • Provide a meet and greet service to clients and visitors. Take the visitors name and ensure you inform the person they are visiting of their arrival including their name.
  • Only allow guest up to the floors once you have confirmed with the employee that they are expecting them.
  • Ensure the signing-in procedure is adhered to.
  • Coordinate all courier requirements.
  • Arrange the distribution and dispatch of all packages via the team of office boys.
  • Update telephone lists, starters, leavers.
  • Manage floral requirements for meeting rooms and external deliveries.
  • Maintain the reception area to the highest standard of appearance and efficiency. Always keep it clean and tidy.
  • Arrange travel for people designated by manager including visas if required.
  • Maintain Parking list.
  • Relieve other agency receptionist while they are on leave.
  • Adhoc admin jobs from manager.
  • In addition to the duties and responsibilities listed, the job holder is required to perform other duties as assigned by their manager from time to time.

Skills & Experience

  • Recent switchboard experience.
  • Working knowledge of Ericsson switchboard system is desirable.
  • Excellent organization skills.
  • Impeccable personal presentation.
  • Ability to remain calm when working under pressure.
  • Excellent interpersonal skills and telephone manner.
  • Ability to deal with clients and colleagues at all levels.
  • Open and friendly personality.
  • Ability to act with tact and diplomacy when necessary.
  • Experience with arranging high touch and complicated travel itineraries.
  • Experience with visa arrangement.
