Department Definition

As part of Expo City Dubai, the Community Management Division is responsible for providing world-class community services and customer satisfaction, in addition to managing all operational aspects of the Expo City Dubai master community, buildings and tenants.

Opportunity Responsibilities

The main responsibilities for the role include:

Strategic Responsibilities:

  • Oversee preventive and corrective maintenance programs, maintaining integrity and functionality of all assets and systems.
  • Streamline the CAFM system for all entities and get this integrated to a single platform.
  • Analyse data from various FM systems to identify trends and patterns. Use this data to develop forward-thinking plans that shift from reactive to proactive facilities management.
  • Utilize data insights to create strategic operational plans.
  • Ensure these plans are geared towards efficiency, cost reduction, and enhanced service delivery.
  • Lead the integration of Artificial Intelligence into our
  • Computer-Aided Facility Management (CAFM) systems to enhance operational efficiency and predictive maintenance.
  • Demonstrate and apply in-depth knowledge of Building Management Systems and Integrated Building Management Systems. Ensure these systems are optimized for peak performance and aligned with our operational goals.

Operational Responsibilities:

  • Stay abreast of the latest trends and technologies in facilities management. Implement innovative solutions that keep our operations at the forefront of the industry.
  • Manage the CAFM help desk team, ensuring effective support and resolution of facility-related issues. Develop team skills in troubleshooting, customer service, and technical support.
  • Continuously seek ways to improve operational efficiency through the effective use of FM systems. Implement best practices in facilities management operations.
  • Train and develop team members on the effective use of FM systems, ensuring high competency levels across the department.
  • Work closely with other departments in particular IFT to ensure FM systems are integrated and aligned with the overall organizational strategy.
  • Ensure all FM systems operations comply with relevant laws, regulations, and best practices.
  • Continuously improve operational efficiency through effective FM system utilization and best practice implementation and conduct training for team members on FM systems, fostering high competency and knowledge sharing.

People Responsibilities:

  • Provide effective leadership and management to the facilities team, ensuring high performance and professional development.
  • Oversee contracts with outsourced CAFM operators. Ensure that contractual terms are met, and services are delivered according to agreed standards and KPIs.
  • Regularly monitor and evaluate the performance of both in-house staff and outsourced operators against key performance indicators (KPIs). Implement strategies to address any performance gaps and enhance overall service quality.
  • Manage interpersonal dynamics and resolve conflicts within the team effectively. Foster a positive work environment that encourages collaboration and mutual respect.
  • Assess staffing needs and allocate resources efficiently.
  • Ensure that the team is adequately staffed to manage workload peaks, including the effective integration of outsourced CAFM operators.
  • Continuously monitor the overall performance of the CAFAM service provider and Identify areas for improvement and implement strategies to enhance efficiency, productivity, and job satisfaction.

Skills

10+ years in facilities management or a related field, with a focus on FM systems as well as:

  • Ability to develop and implement long-term strategies for efficient facility management.
  • Understanding of FM systems, including maintenance, and IT infrastructure.
  • Strong leadership skills to guide and motivate your team effectively.
  • Proficiency in budgeting, cost control, and financial planning related to facilities.
  • Quick and effective problem-solving skills for unexpected issues in facility operations.
  • Clear and effective communication skills, both written and verbal, for interacting with various stakeholders.
  • Ability to manage multiple projects simultaneously, ensuring timely and within-budget completion.
  • Skills in identifying, assessing, and mitigating risks in facility operations.
  • Knowledge of local and international regulations and standards relevant to facility management.
  • Ability to embrace and implement new technologies and practices for improved efficiency and sustainability.
